The ISO 14001 certification process
You go through six steps from decision to certificate. Count on three to twelve months, depending on your starting position.
The six steps to certification
- Determine scope - Which parts of your company do you want to certify? Which environmental aspects are relevant? You can start with one location.
- Set up an environmental management system - Map your environmental aspects: energy, waste, emissions, water. Record processes and set goals.
- Proof period - Your system must be demonstrably functioning for at least three months before you can become certified.
- Internal auditing - Check yourself whether everything works before the certification body arrives.
- Choose a certification body - Request quotes, compare and choose. More about this later.
- External audit - The certification body carries out the audit in two phases.
Who does what?
You
Setting up a system, managing environmental aspects, training employees
Consultant (optional)
Guidance, gap analysis, documentation
Certification body
Perform audit, issue certificate
Accreditation body
Checks the certification body (the Dutch body, UKAS, etc.)
Good to know: A consultant is not mandatory. Many SMEs do it themselves, especially if they already have ISO 9001.
Preparation for ISO 14001
Good preparation is half the battle. Most of the time is spent setting up your environmental management system, not in the audit itself.
What do you need to arrange internally?
Then follow these steps:
- Environmental aspects inventory - What are your significant environmental impacts? Energy, waste, emissions, hazardous substances?
- Check legislation and regulations - Which environmental legislation do you have to comply with? Permits, reporting obligations?
- Setting goals - Formulating concrete, measurable environmental objectives
- Define processes - Describe how you manage environmental risks
- Train employees - They do not need to know the standard, but they do need to know their own tasks
- Internal audit - Test whether everything works before the certification body arrives
What documentation is needed?
The standard requires at least:
Environmental policy
Your vision on the environment, signed by management
Environmental aspects register
Overview of your environmental effects and risks
Objectives
Measurable environmental goals
Legal and regulatory register
Relevant environmental legislation
Procedures
How you work and manage risks
Contingency plans
What to do in case of emergencies
No need for a thick manual. Many companies work with a digital system or compact documents. The shape is free.
Three common mistakes
Mistake 2: Environmental aspects too broad or too narrow
Focus on what is significant. An office does not need extensive chemical procedures - but energy consumption and waste separation do.
Mistake 3: Forgetting proof period
Your system must be demonstrably working for at least three months. Plan well in advance - starting late means delays.
